Reports to: Vice President/Trust AdministrationJob Classification: Exempt Last revised: January Street Address  Function:The Candidate's Name  is primarily responsible for administering a variety of accounts including irrevocable and revocable trusts, investment management accounts, charitable gift annuities, and estates in accordance with the governing instruments, applicable state and federal law, and fiduciary accounting standards. This position works closely with Financial Service Representatives, Portfolio Managers, and Trust Operation Specialists to achieve clients investment, tax, and overall goals.Responsibilities: Effectively manages and administers assigned accounts by monitoring daily cash balances and transactions, proactively contacting clients, responding to clients concerns in a timely manner, and coordinating relationships with internal and external professionals. Administers accounts to ensure compliance with Covenant Trust policies/procedures, and existing laws/regulations and the fiduciary standard. Completes mandatory annual account reviews and manages the account opening and closing process. Coordinates and participates in the trust tax process which includes understanding and reviewing client fiduciary tax returns, K-1s, grantor tax letters, 1099Rs, 1099MISCs, 1099DIVs, 1099INTs, and 1099Bs. Responsible for interpreting client trust agreements and determining appropriateness of CTC to serve as fiduciary for all new accounts on an ongoing basis. Participates in the development and review of corporate policy and procedures relating to administration and recommends changes thereto. Serves on the Administration Committee. Attends the Portfolio Review Committee meetings as well as the semi-annual meetings of Financial Services Representatives. Initiates and monitors discretionary distributions pursuant to trust document terms in collaboration with the Administration Committee. Manages account opening and closing of assigned accounts. Other duties as assigned.Required: Bachelors degree required. Two to four years trust experience, excellent analytical skills, and an ability to understand legal documents. CTFA, CFP or pursuit thereof preferred. Estate settlement experience preferred. Familiarity with trust tax laws and filings preferred. A heart for serving others and a passion for helping individuals and mission-centered institutions achieve their financial and charitable purposes. Familiarity in working with executors and representatives of deceased trust holders to handle death related duties. Experience working with Attorneys-In-Fact and incapacitated persons. A good problem solver: able to identify issues and resolve them appropriately. A good understanding of all essential tools, systems, and software common to financial institutions and trust companies including trust accounting systems. Ability to learn and utilize multiple company systems. Proficiency with Microsoft Office(Outlook, Word, Excel, Power Point). Strong communication (oral and written) skills. Excellent client service skills; excellent interpersonal skills for a quality working relationship with vendors, bankers, security brokers/dealers, Covenant Trust staff and other service representatives. Excellent organizational skills as well as the ability to manage multiple tasks efficiently and accurately. Ability to work in a high volume and fast paced environment, handling multiple deadlines and multiple projects in a timely and professional manner. Must be self-directed and motivated, able to work independently with excellent follow through and attention to detail, yet also able to work collaboratively with others. Must be able to maintain strict confidentiality. Work Environment and Physical Requirements: Office setting with good lighting, temperature-controlled environment. Limited exposure to negative environmental factors and potential accidents. Position requires:o periods of sitting,o mobility to move about the office,o minor physical effort including bending, lifting, and carrying of lightweight materials. o good visual acuity and manual dexterity for operation of various office equipment. Equipment used in performance of duties may include computer, printer, copy machine, scanner, telephone, and other related office equipment.
