When other Regional Offices send POAs, reports, and other correspondences, I sort through them and determine if they belong to our RO or if they need to be forwarded to another RO. If the correspondences belong to our RO then I determine which department they go to and I route them there.Label and ship UPS packages- When packages are brought into the mail room and need to be shipped out via UPS; I enter the shipping information into the UPS database, weigh the package, and print the label. Once the label is attached to the package I give the receipt with the tracking number to the client for their records. If it is the first time a package has been shipped to the receiver, I enter their contact information into the database. Should a person lose their receipt and the package needs to be tracked, I pull the information from the archives to retrieve their tracking number for them.Personally developed a new process for incoming UPS, FEDX, and Certified USPS so that all tracked incoming parcels are scanned into a spreadsheet the moment they arrive into the mailroom and only released when they are signed for by the intended party. I designed the spreadsheets and created the scanning process. Since the development of the new process we have not had one parcel lost or misplaced.Transport outgoing mail to loading dock- After the last mail pick up and the mail has been processed, using the Pitney Bowes Correct+ Mail sealer and Stamp meter, the number of pieces are recorded and entered into the Daily Mail Count Summary Report and the mail is then transported to the loading dock so that the carrier can take the mail to the post office. If there is any mail from the previous day that had improper postage or any other defects I receive it from the carrier and return to the mail room for reprocessing.Pick up mail from the post office- On a daily basis go to the post office in Olivette and down town St. Louis to pick up incoming mail. Occasionally go to the two VAMC hospitals, the RMC, and the Military Records Retention Center to pick up mail and other packages. Before I was allowed to drive the government vehicles I had to qualify by passing the Federal Defensive Driving Training Course.Operate DL400 Mail Opener- Daily I utilize this machine to open and count the incoming mail. I am also responsible for the daily maintenance, consisting of cleaning the machine with compressed so that small particles of paper wouldnt cause the rotators to clog and stop turning. I also trained new employees on the maintenance and operation of the mail opener.Operate MARSH TD2100 tape machine-There are occasions when processing mail with the Pitney Bowes Correct+ machine that the sealer stops working. When this happens the Marsh TD2100 is used to seal the outgoing letters. On one particular day the sealer stopped working early in the morning on one of our heaviest mail processing days. I spent my entire day manually sealing over 3500 pieces of outgoing mail using the Marsh TD2100 so that the mail could go out on time. I also took that opportunity to learn how to physically maintain the machine by reloading the tape and the sealing solution. I also trained new employees on the operation and maintenance of the tape machine.Operate Pitney Bowes Correct+ Mail Sealer and Stamp Meter- Three times per day mail is picked from the different departments throughout the building. Once it is picked up it is sorted so that the different size envelopes are put together and ran through the machine so that the envelopes are sealed and stamped. Once it is completed all of the totals are tabulated and entered into a report and the mail is taken to the dock to be transported to the post office. I assisted in the training of new employees on the operation of the mail sealer/stamp machine.Operate Rapid Print date stamp machine- All incoming mail is processed by sorting, date stamping, and forwarded to its respective department. The purpose of date stamping is that the claims begin date is determined by the date that is stamped on the claim. Part of using the date stamp machine is maintaining it by making sure the date is correct and the machine is thoroughly cleaned. I trained was charged with training two new employees how to operate, adjust, and clean the date stamp machines.Produce/reproduce documents by printing or photocopying- Produced several documents to aid in a smoother running mailroom. Some of the documents I have created are, a standard order list for publications, an updated binder of addresses for the nations Veterans Services Organizations, spreadsheets for the incoming parcels, and SOPs for the new process of receiving and distributing packages.Inspect parking lot and government vehicles- Tour the parking lot and ensure that the cars parked in the assigned parking spot and no unauthorized cars are parked in the assigned spots. I also verify that the government vehicles are present, not damaged, and locked.Train Coworkers- Train coworkers on the processes of how to determine where particular pieces of mail are to be routed. Also train coworkers on how to use certain spreadsheets I developed as well as the regular day to day intangible duties.Order New Supplies- Order publications, forms, envelopes, and shipping supplies through our various vendors such as USPS, UPS, and VA headquarters.Complete Daily and Weekly Reports- Prepare and distribute the daily Parking Report, the daily mail reports, and the weekly incoming and outgoing mail reports as well as the weekly incoming UPS, FEDEX, and Certified Mail reports. I also train new employees on how to complete and distribute these reports.Transport Employees to and from their cars- On a daily basis, at regularly scheduled times, I use a government vehicle to transport employees with Reasonable Accommodation needs to and from their cars. There was a federal defensive driving course that had to be taken and passed in order to be able to utilize the government vehicles. I received my certification in November of 2017.Before becoming a permanent employee for the VBA, I worked as a work study in the mailroom for 3 months. I created a new form for the inventory process that allowed the inventory to be automatically updated as the supplies were used.
