Custom Personnel has a client seeking an Administrative Team Member for their repair department. This person will be responsible for all communication with customers and technicians, scheduling jobs, documenting work performed, job follow-ups, inputting customer information and job progression into QuickBooks, assisting walk-in customers as needed, and coordinating with the repair manager, and repair team throughout the job process.

Responsibilities May Include:

  • Answer the phones and maintain good communication with customers.
  • Return customer calls within a timely manner.
  • Schedule appointments based on customer agreements, approvals, and repair team workload.
  • Update repair team regarding any schedule changes.
  • Create estimates and work orders in QuickBooks based on the information provided to you by the customer.
  • Attempt to gain pre-approval for work to be performed via email, text, or in person from the customer prior to job scheduling.
  • Print both work order and estimate for the repair team and close the work order until customer approves work to be performed.
  • Update estimates and work orders based on the information provided to you by the repair team.
  • Collaborate with the inventory department to order parts for approved customers waiting to be scheduled.
  • Cross coordinate job scheduling dates with expected shipping dates to ensure they align appropriately for customers who are waiting for parts.
  • Collaborate with the repair team members to ensure everyone is updated on all active and pending projects.
  • Maintain all active jobs to ensure they are completed within a reasonable time.
  • Submit manufacture warranty claims to the appropriate department and maintain appropriate communication throughout the process.
  • Collaborate with supervisors and/or managers with any project concerns.
  • Show up on time to team meetings for the repair department.
  • Analyze feedback from customers and gauge customer satisfaction.
  • Schedule pool inspections with appropriate documentation and work order attached for the technicians.
  • Upload all pool inspection photos into QuickBooks and submit completed documentation.
  • Submit all loop-loc estimates and maintain contact with loop-loc progression.
  • Performs other tasks assigned by manager.
