Your Role & Responsibilities


As an Account Payable Specialist, you will manage all aspects of the accounts payable cycle, ensuring timely and accurate processing of vendor invoices and payments. Your role will include verifying expense reports, maintaining records, and collaborating with other departments to uphold the integrity of our financial transactions. The position requires someone who is proactive, detail-oriented, and capable of managing multiple tasks effectively.


Primary Responsibilities:



  • Invoice Verification & Processing:
    Accurately review, process, and code invoices, ensuring compliance with company policies and budget allocations.

  • Payment Scheduling & Execution:
    Prepare and schedule payments, such as checks, ACH transfers, and wires, while ensuring adherence to payment terms and deadlines.

  • Vendor Relations:
    Serve as the primary point of contact for vendors, resolving payment discrepancies and building positive relationships.

  • Expense Report Management:
    Verify employee expense reports for completeness and accuracy, ensuring compliance with the companys expense policy.

  • Reconciliation & Reporting:
    Reconcile vendor statements and assist in month-end closing procedures by preparing various financial reports and account reconciliations.

  • Record Maintenance & Compliance:
    Maintain organized and up-to-date financial records, ensuring all documentation is readily accessible for audits and internal reviews.

  • Process Improvement:
    Identify opportunities for streamlining processes and implement best practices to improve the efficiency of the accounts payable function.


Key Qualifications:



  • Educational Background:
    An Associates or Bachelors degree in Accounting, Finance, or Business Administration is preferred.

  • Technical Proficiency:
    Familiarity with accounting software (e.g., QuickBooks, SAP) and ERP systems. Advanced knowledge of Microsoft Excel is a plus.

  • Attention to Detail:
    Demonstrated ability to process financial data with high accuracy and integrity.

  • Analytical Skills:
    Capable of identifying discrepancies and resolving issues in a timely and efficient manner.

  • Communication & Interpersonal Skills:
    Strong verbal and written communication skills, with the ability to effectively collaborate with vendors and internal teams.
