Park University (Parkville, MO): International Center for Music (ICM) Coordinator.
Management of the ICM’s facilities and maintenance of its assets (particularly fleet of Steinway pianos). Communicate with the piano students and faculty on a daily basis to determine whether each of the pianos are functioning properly, what things need to be fixed on each, what instruments need to be prepared for performance, what piano parts need to be ordered, and then work closely to provide information and logistics to the three piano techs. Coordination of every ICM event in the university’s chapel including recitals, concerts, photo shoots, video shoots, master classes, and guest artists’ events (over 75 events per year). Also coordinate the purchase or rental of music scores, artists’ requirements for getting the stage set appropriately for each event, coordination of repertoire/programs, and communication between the artists and different branches of the university. Handles all travel logistics for visiting artists or piano techs including transportation, hotel, rehearsals and concerts, interaction with the ICM students and faculty, meeting with ICM sponsors, and payment of associated fees. Also coordinates the purchase of equipment for the three piano technicians that work with us on the regular basis. Coordinates piano transport for concerts and events around the city. Makes reservations for and coordinates carting of the pianos to performances, special appearances and videotaping. Coordinates all university documentation compliance for ICM vendors, guest artists, piano technicians, local musicians and logistic/transportation organizations, including initial contact, bids, purchase orders, executive summaries, check requests and payments. Oversees the budgeting for the maintenance of Park University’s fleet of Steinway pianos to ensure their performance is preserved while avoiding as much down-time as possible and adhering to piano upkeep budgets. After the students are recruited by the studio professors, communicates with and handles logistics for both American and international students that plan to come to study at ICM. Includes the coordination of school transcripts, immigration documents, room and board, and orientation. Works closely with every student in the ICM department. Duties include monitoring visa and compliance issues with the university international office and the USA; academic performance; class advising; and bi-annual class enrollment. Oversees and reconciles student scholarship funds. Manages student financial statements that summarize student scholarships, financial aid, insurance and stipends for every student at ICM. Communicates daily with the International Office, Office of Residential Life, Student accounts, student success coaches, and student benefits including health insurance issues. Deals with student grievances in a way that accommodates the cultural differences among the student body while still respecting the rules of the organization, often involving mediation between the two. Assisting the ICM Executive Director with producing performance programs and with on-campus marketing and coordination of student/faculty/visiting artist recitals some of which are for the general public and others for donor recruitment, acknowledgement or appreciation. Assisting with production of invitations and reservations for these same recitals, including correspondence with sponsors, performers and vendors.
