The day-to-day tasks and duties of the Administrative Assistant at Global Visa Support include managing and coordinating various office activities to ensure smooth operations. This involves organizing and overseeing events like seminars and conferences, handling all correspondence such as emails, letters, and phone calls, and maintaining organized office files and documents. The role also includes supervising and motivating staff to achieve high performance levels, administering payroll with accuracy and confidentiality, and assisting in the preparation of reports, presentations, and other essential business documents. Additionally, the Administrative Assistant will act as a liaison between different internal departments and external partners, facilitating effective communication and coordination. By supporting the implementation of company policies and procedures, the Administrative Assistant ensures that the office runs efficiently and that all operations align with company standards.The ideal candidate for the Administrative Assistant position at Global Visa Support will possess a Bachelor’s degree, providing the necessary foundation to effectively manage the various responsibilities of the role. They should bring 1 to 2 years of relevant experience in administrative or office management positions, showcasing their capability to oversee office operations, coordinate events, and support team members effectively. Excellent proficiency in English, both written and spoken, is crucial, as the role involves extensive communication with colleagues, clients, and external partners. Knowledge of Tagalog is advantageous, as it would enhance interactions with our diverse client base, particularly those from the Philippines. The ideal candidate will be highly organized and detail-oriented, with a strong ability to multitask and prioritize in a fast-paced environment. They should be proactive, possess strong problem-solving abilities, and maintain a professional demeanor that positively represents the company. Proficiency in office software, such as the Microsoft Office Suite, is required, along with the capability to handle sensitive information with integrity and confidentiality.
