Transition Assistance Program (TAP) Administrator
Place of Performance: Columbus AFB, MS

General Description:
Transition Assistance Program (TAP) Administrator provide data entry for the Transition Assistance Program (TAP) and other services as required provided through the Military and Family Readiness Center (M&FRC). You will assist with other administrative functions and programs as needed. Assist the M&FRC staff in providing a full range of transition referral services to M&FRC clientele in the following areas: intake assessment to determine appropriate level and type of transition assistance to authorized patrons (active duty, dependents, retirees, DoD civilians with a Common Access Card) who are seeking transition assistance. You shall provide technical assistance to M&FRC customers needing transition assistance in the operation of computer-based programs, as specified in requirements below, and other programs available. You shall serve as the transition services initial point of contact for all transition assistance program software, hardware, and user problems to include network issues. If you cannot resolve the problem, they shall inform a M&FRC Staff Member.

Specific Tasks:
Keep detailed records by inputting information into various computer programs used in conjunction with TAP.
Assist in arranging classroom seating, ensuring chilled water, coffee and snacks are available for workshops, re-arranging the classroom after completion of the workshop, and entering all required data into associated databases.
Capture statistical information and direct and/or assist customers by telephone, or walk-in to appropriate M&FRC staff members for assistance or assist the customer with accessing the TAP computers.
Update and post job and job fair listings on a timely basis, contact employers for job leads and listings, and maintain data files on companies.
Responsible for the computerization and inventory of required TAP materials when resources are in place.
Provide monthly data support in collecting, maintaining, and reporting protected information from the Air Force Family Integrated Results Statistical Tracking System (AFFIRST) and the DoDTAP databases.
Ensure adequate stock of supplies and forms prescribed for TAP to meet the needs of the customers are maintained and available. Low stock should be reported to TAP Counselor.
Provide support in the 100 percent completion of all forms required for all separating or retiring military members and medical evaluation board (MEB) candidates.
Aid in completing the TAP Exit Questionnaire to capture customer input on the quality of base level transition processes.
On a weekly basis, check TAP computers for required software and program updates and run/install updates as needed.
On a weekly basis, clear the temporary Internet files folder and remove temporary files set on the computer during TAP or other workshops.
On a weekly basis, clear user Common Access Card/Public Key Infrastructure (CAC/PKI) certificates from web browsers at least weekly.
Shall not install modify any equipment or software without prior approval from M&FRC staff to include software downloads from the internet.
Maintain network integrity by allowing only authorized patrons to access the TAP computers.
Ensure anti-virus software is run/updated weekly.
Catalog TAP resource materials within one week of receipt and make recommendations on ordering new or updating existing resource materials and equipment needed for operation of the transition assistance program.
Maintain accountability statistics on resources used and develop charts, logs and summaries as directed by the Chief, M&FRC.
Ensure transition area is opened, lights and workstations turned on and functioning at the beginning of each duty day. Bring up main menus on computers, ensure printer paper is loaded. Ensure adequate housekeeping is accomplished each day to keep the transition assistance area orderly.
Ensure all clients sign in for use of TAP computers and provide the Chief M&FRC a monthly client usage report.
Assist authorized clients with technical questions concerning use of transition related computer programs.
Provide referral service to clients seeking assistance with transition services such as resumes and job applications.
Provide a list of supplies and teaching material required for one year no later than 31 January of each year.
Maintain computer security, ensure clients are aware of the limits on software program accessibility through the main menu, and instruct clients how to scan their disks for viruses.
Perform minor troubleshooting on computers, printers, scanners, any equipment, and furnishings related to the transition assistance program.
Assist customers in use of computer programs related to transition assistance programs such as Microsoft Office Suites.
Assist in collecting statistical information on all M&FRC activities and input the statistical data into AFFIRST.
Setup classroom for workshops related to the transition assistance program and maintain class rosters in AFFIRST.
Document TAP computer software/hardware malfunctions or abuse and report immediately to the EC.
Provide tours of the TAP facilities and resources for walk-in customers and workshop participants as needed/when directed/requested.
Inventory all resource materials on a quarterly basis no later than the last day of the month of the calendar year quarter (i.e., Mar, Jun, Sep, Dec), monitor the use of all materials and report any missing or damaged inventory to the Chief M&FRC quarterly.
Ensure accountability for all government furnished assets and all facilities, systems and equipment assigned for maintenance or operations.
Safeguard government records, equipment, information, and facilities to prevent unauthorized access or release.
Update handouts and marketing materials as appropriate.
Assist M&FRC staff with programs as needed/requested.

Qualifications:
Shall have a minimum of one year of experience working with TAP or similar transition services helping service agency or 12 credit hours in social sciences/social work.
Computer management skills and a working knowledge of Microsoft Office Suite products.
Knowledge of classroom environments to include arranging a classroom to meet workshop attendance needs.
Must possess communication skills appropriate in a social service environment.
Must possess a basic understanding of military protocol and support group organizations, understand family systems in a military setting, and possess the ability to communicate and work effectively with diverse groups.
Shall be able to read, write, speak, and understand the English language fluently.
Shall possess effective verbal and written communication skills.
