Plum Creek Recovery Ranch is a therapeutic behavioral health facility specializing in substance use and co-occurring disorders. We are located on 200 acres of beautiful ranch land 20 miles south of Austin in Lockhart, Texas. The Intake Coordinator functions similarly to a Call Center Specialist and is part of the PCRR Admissions Team. This role is responsible for providing administrative services to patients, their families, and fellow staff, both over the phone and in person, to support the facility and program philosophy of care; to ensure the safety and well-being of each patient. The Intake Coordinator will also conduct admissions screenings on potential residents. Job Description: Customer Service: - Answer the phone in a courteous and professional manner
- Provide introductory information on Plum Creek Recovery Ranch program, services, facility, insurance and admissions process, utilizing other Admissions staff if needed
- Obtain client information that is pertinent in supporting potential admission to the facility
- Assist in arranging transport to facility if needed
Admitting Resident Assessments and Care:
- Conduct initial client assessment over the phone to determine appropriate level of care. Confer with medical staff and Director of Admissions on assessment results.
- Upon admission, complete physical Resident Assessment including checking patients vital signs, blood pressure, pulse, height, weight and temperature.
- Obtain consent for any injections or procedures before the visit.
- Inventory and secure client belongings
Treatment, Processes, and Testing Duties - Complete urinalysis and genetic testing
- Obtain lab results and ensure they are properly uploaded to patient chart and accessible
- Complete medical release for records and prepare records to be reviewed by the Provider
Emergency Protocol - Know and follow necessary protocols during emergency situations with patients that may require contacting 9-1-1, Police, or other first responders.
- Stay informed and up to date on emergency procedures at all times.
- Execute de-escalation protocol in case of emergency.
- Document emergency encounter information in patient charts.
Care Coordination - Check faxes and distribute to appropriate persons (referrals and medical records request).
- Coordinate messages between patients and providers.
- Scheduling patients when necessary.
- As assigned, complete phone triage, documents calls, and collaborate with the interdisciplinary team.
Clerical Duties - Compile information for patient charts including scanned documents such as record release, consent for care or treatment, letters for correspondence of care, legal documents necessary for care, etc.
- Complete Providers requests as necessary.
- Performs other clerical tasks as needed, such as answering phones, faxing, and patient check in and out.
Necessary Skills: - Licensure to complete initial assessments
- Work effectively and collaboratively in a multi-disciplinary team to ensure excellent patient experience. Coordinate with other departments for patient care.
- Must maintain composure in environments of elevated stress to include professionally and calmly handling crisis situations during telephone calls or in person to determine appropriate next steps in the assessment process.
- Knowledge of addiction services and behavioral health services/treatments, medications and mental health scales.
- A minimum of one year of progressively responsible support services work preferred.
- Ability to multitask and work in a fast-paced environment.
- Respect boundaries and privacy of patients at all times.
- Ability to effectively interact with persons of widely diverse roles, backgrounds, cultures, and socio-economic classes, those in crises or resistant or negative toward organization.
- Ability to exercise appropriate judgment in answering questions and releasing information; analyze and project consequences of decisions and/or recommendations.
- Ability to exercise self-control in potentially volatile situations such as being verbally or physically confronted in a threatening or aggressive manner; must be flexible and not easily frustrated in dealing with differences of opinions.
- Ability to handle confidential information with great sensitivity.
- Basic data entry skills required, preference for basic computer skills.
- Problem-solving; organizational and time management; crisis intervention skills.
- Displays basic knowledge of treatment procedures; interventions common to substance use treatment, acute psychotic as well as non-violent crisis intervention practice, medical and behavioral health emergency procedures.
- Knowledgeable of patient rights and laws pertaining to mental health.
- Must be able to work and concentrate amidst distractions such as noise, conversation and foot traffic; ability to handle interruptions often and be able to move from one task to another.
- Skills in problem solving, prioritizing, organizational and time management
- Well-developed verbal and written communication skills in English. Skill to communicate effectively in order to exchange and/or provide information, build and/or maintain cooperative relationships.
Requirements - LCDC or LCDC-I licensure in the state of Texas required
- Inpatient healthcare experience preferred
- Weekend hours approximately 10:00 am to 8:00 pm
- Part Time Position
