Job Description: Executive/Personal Assistant to CEO. Princeton, NJ (Onsite Role) Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company. Planning logistics for CEO meetings based on his schedule. Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization whenever required. Arrange travel and accommodation for the CEO and other executives as required. Prepare expense/claim reports for the CEO. Excellent communication and time management skills; proven ability to meet deadlines. Ability to function well in a high-paced environment; perform any additional duties as assigned by the CEO beyond call of office. Draft and prepare correspondence for internal announcements, board meetings, etc. that the CEO is involved with. Be responsive to emails/texts/phone calls, with contact outside normal business hours. Use discretion, confidentiality, and good judgment to handle C-Level matters as well as executive leadership team. Represent the company and the Executive in a positive light through great follow-through skills and sound judgment. Complete any ad hoc projects as assigned such as personal events and/or family needs. Handle any scheduling issues for the CEO based on his directives. Oversee office logistics requirements for any leadership meetings, VIP visits etc., Assist with meeting preparations for the CEO. Performing office duties that include ordering supplies and managing important files for office/CEO. Provide general administrative support for any logistics arrangements for the CEO. Ability to work and negotiate with marketing teams, external vendors as and when needed for any office events etc., Requirements: Proven experience as an executive assistant or other relevant administrative support experience. Should be grounded and willing to do hands on work. A positive attitude and a can-do attitude are preferred. In-depth understanding of entire MS Office suite. High school diploma or bachelor's degree Ability to organize a daily workload by priorities. Must be able to meet deadlines in a fast-paced, quickly changing environment. Flexible availability as needed basis the nature of this role. A proactive approach to problem-solving and use of best judgement. Professional level verbal and written communications skills. Ability to think outside of the box with a sense of urgency. Demonstrate ability and temperament to work with sensitive information.
