Title:
Administrative Assistant
Terms of Employment:
Permanent, Full Time, Overtime, Day, Morning, Evening
Salary:
$25.00 hourly for 30-35 hours per week. Overtime after 40 hours a week
Anticipated Start Date (at the latest in 3 months):

Specific Skills:

Administrative Duties:
1. Client Interaction:
o Greet clients and visitors, answer phone calls, and respond to emails.
o Schedule and confirm appointments and meetings for consultant.
o Maintain a professional and welcoming experience for the clients.
o Coordinate with consultant, co-workers, office administrator and office manager to prioritize activities of the day
2. Documentation and Record-Keeping:
o Prepare, organize, and manage client files and immigration documents.
o Maintain databases and ensure records are up-to-date and accurate.
o Handle sensitive and confidential information with discretion.
3. Correspondence:
o Draft, proofread, and send letters, emails, and other communications.
o Communicate with clients to gather necessary information and documents.
o Follow up with clients on pending cases
o Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information
o Check emails regularly and reply to clients
4. Office Management:
o Order office supplies and ensure the office is well-stocked.
o Coordinate maintenance and repair of office equipment.
o Manage office budgets and expenses, and handle petty cash.

Support for Immigration Consultant:
1. Client Assistance:
o Assist clients in completing immigration forms and applications.
o Provide clients with information on immigration procedures and requirements.
2. Case Management:
o Track the progress of client applications and provide updates to clients.
o Ensure that deadlines are met and follow up on outstanding tasks.
3. New Updates:
o Stay informed about changes in immigration regulations and procedures.
4. Team Collaboration:
o Work closely with immigration consultant and other staff to ensure smooth operations.
o Participate in team meetings and contribute to process improvements.
