 Manage effective and efficient operation of CHS Regional Office in a manner that enhances agency reputation and ensures top-quality internal and external customer service. Responsible for regional office building maintenance and scheduling of programs and meetings, both in CHS and those within the local community. Strong governance is critical to providing quality services in Head Start and Early Head Start program. This position is responsible for overseeing Head Start & Early Head Start Policy Council/Governance to ensure compliance.



ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.



General Administrative Duties:




  • Oversee office operations, procedures and scheduling in coordination with Area Coordinator and/or Associate Executive Director.

  • Establish and be responsible for office procedures for building maintenance, ordering supplies, security, and equipment maintenance.

  • Communicate with Area Coordinator about staff / meeting rooms’ calendars on a monthly basis; include Community Meetings.

  • Responsible for scheduling use of meeting rooms and having room prepared for groups holding meetings and trainings. Has available what is needed by CHS groups for meetings which may include coffee, snacks, lunch (find out from person holding meeting what is needed).

  • Answer telephones, directing calls, recording and delivering messages promptly and accurately.

  • Routes incoming mail and insures outgoing mail is dispatched daily.

  • Greets visitors, ascertains nature of business, and direct visitors to appropriate person. Makes people feel welcome in building, are courteous and take initiative in assisting them.

  • Responsible for teen parent program reports to be sent to school board

GOVERNANCE:


  • Responsible for all logistical planning of all policy council related meetings and events. Logistics include scheduling meetings, securing space, communicating meeting information/agendas, confirming attendees, securing equipment, ordering food, creating and distributing material and all other logistics.

  • Prepares folders, agendas, orders meals, and sets up conference calls to approve agendas for the Policy Council meetings.

  • Responsible for requesting and distributing parent stipends for policy council.

  • Attends all policy council meetings, taking minutes, transcribes minutes, coordinates translation and disseminates as appropriate.

  • Updates, maintains and distributes policy council roster.

  • Provide reports to board from policy council.

  • Takes the lead with the parent recognition for the end of the year celebration.

EDUCATION and/or EXPERIENCE:



Associates degree preferred. Knowledge of how to operate office machines and computers, e.g. copiers, postage meters, computers utilizing Microsoft Office software. Knowledge of HS governance.
